Scaling an Online Membership Business With Stronger Systems + Team Ownership

When a membership business grows, the systems behind it have to grow too.

For one online education business I supported, the founder Mara had built a strong membership, a growing content library, and a team of contractors, but she was still the go-to person for questions, decisions, and day-to-day direction.

The goal was to change that by building clearer systems, stronger team ownership, and an operational foundation the business could grow on.

The Shift

Over a 9-month contract, I stepped in as the Online Business Manager, connecting the founder, team, projects, and systems.

We focused on:

  • Managing 8 key projects and the supporting tasks across the business

  • Clarifying team roles, ownership, and follow-through

  • Creating one centralized workspace for projects, SOPs, and business knowledge

  • Coordinating a major membership platform migration to WordPress, MemberPress, and Kit

  • Documenting processes so knowledge no longer lived primarily with the founder

  • Creating a consistent project and meeting rhythm

  • Supporting hiring, contractors, and vendor decisions

  • Rebuilding marketing and email workflows around the new systems

My role wasn’t to become another person the team had to rely on. It was to build the structure that helped everyone work more independently.

The Results

Within the first few months, the business was operating with much more clarity and consistency.

Projects moved out of scattered documents and conversations and into a shared operational system with clearer owners, tasks, SOPs, and workflows.

The platform migration created a stronger foundation for the membership and email marketing systems, while documented processes gave the team more confidence to manage their own areas without waiting on the founder for every answer.

The bigger win was creating a business that could keep moving forward without the founder or the OBM needing to push every project across the finish line.

“The team was always a sore spot for me, so... I feel like we're in a really good place... I'm really, really happy right now.”

Why It Matters

At a certain stage of growth, adding more members, offers, or marketing isn’t enough. The operations behind the business must support it.

Your team needs to know what they own. Your processes need to live somewhere other than your head. Your technology needs to support where the business is going. And you need visibility without having to manage every detail yourself.

That’s how you move from a founder-dependent business to a team that can actually run the business with you.

👉 If your membership or online education business has grown faster than the systems behind it, I can help you organize the moving pieces, clarify ownership, and build the operational structure to support what’s next.
